Executive Assistant & Marketing Coordinator

Full Time – In Office Position

Reports To – Company President/Visionary

Pay - From $50,000 a year

Role Overview

The Executive Assistant & Marketing Coordinator will provide high-level administrative support to the Visionary of The Probate Pro, ensuring seamless management of daily operations, communication, and strategic marketing initiatives. This individual will serve as an organizational anchor, protecting the Visionary’s time, enhancing productivity, and supporting firmwide marketing efforts. This role is primarily executive support–focused, with meaningful involvement in marketing coordination. This is a new role at The Probate Pro and offers a unique opportunity to work closely with the Company President/Visionary in a high-trust, high-impact position.

Core Executive Assistant Responsibilities

  • Manage and optimize the Visionary’s calendar, including scheduling, prioritizing appointments, and safeguarding focus time.
  • Monitor and organize the Visionary’s email inbox, drafting responses, flagging priority items, and maintaining inbox efficiency.
  • Screen, route, and respond to telephone calls and messages with professionalism and discretion.
  • Prepare summaries, follow-up lists, and briefing materials ahead of meetings.
  • Coordinate travel arrangements, logistics, and itineraries as needed.
  • Maintain task lists and support the Visionary in aligning daily activities with firm priorities.
  • Act as a communication bridge between the Visionary and internal teams, ensuring follow-through and clarity.
  • Handle confidential and sensitive information with the highest degree of discretion.

Marketing Support Responsibilities

  • Assist with planning, coordinating, and executing marketing campaigns and initiatives.
  • Manage or support the Visionary's presence across social media platforms including scheduling posts, coordinating content, and monitoring engagement.
  • Support the creation of marketing materials (drafting, proofreading, coordinating with designers/videographers).
  • Track social analytics and basic marketing KPIs to inform ongoing strategy.
  • Coordinate speaking engagements, community events, and relationship-building activities.
  • Maintain and update CRM or contact databases to support outreach and nurturing of “big relationships.”
  • Assist with podcast, video, or webinar preparation — scheduling, logistics, and post-production follow-ups.
  • Research marketing opportunities, strategic partnerships, and visibility channels.

Requirements

  • At least 5 years of experience providing executive-level administrative support.
  • Exceptionally organized and detail-oriented; able to anticipate needs before they arise.
  • Strong written and verbal communication skills.
  • Confident, polished, and professional phone and email presence.
  • Comfortable working in a fast-paced environment and managing multiple priorities.
  • Proactive, resourceful, and solution-oriented mindset.
  • Tech-savvy; familiar with CRM tools, social media platforms, and basic marketing software.
  • High level of discretion and emotional intelligence.
